INFORMATION FOR ACCEPTED PRESENTERS

NEW UPDATE:-SESSION LOCATIONS: Please note that the majority of session rooms are in the Group Publishing building, which is a separate building across the street from the main hotel building/registration area. Please check the conference brochure on website below  to identify your session room as well as review the site map (pg. 4) to find out if you are presenting in one of the La Quinta hotel buildings or the Group Publishing Building across the street.

Below are a few reminders and details to help prepare you for the conference. Please be sure to read through all of this important information.  Soon you will receive a more detailed email with conference logistics that will be sent to all attendees.

IMPORTANT REMINDERS (more details can be found below):

  • REVIEW SESSION INFO: Review your session information and let CAEE know ASAP of any pertinent updates/questions.
  • REGISTER FOR THE CONFERENCE: If you have not done so, please register for the conference by Monday, April 23 by 12pm. We will honor the early bird rate for presenters.
  • SESSION MATERIALS: Please review the session planning section below to see what will be provided and what you should bring with you in terms of session materials.
  • INTERNET: Do not rely on having internet access in your session room. Please save all presentation materials to a flash drive or to your laptop to access.
  • INVITE GUESTS TO SOCIAL EVENTS: Please invite colleagues, friends and partners to the Friday & Saturday Social Events. Guests can attend for $10. 

REGISTRATION & CHECK-IN:

If you have not registered for the conference, please do so by Monday, April 23 by 12pm. We value your contribution and expertise and hope you will participate in the other great sessions and events we have lined up this year. Click here for the link to register online. We will extend our early bird rates for presenters.

Hotel Address: La Quinta Inn and Suites 1450 Cascade Ave Loveland, CO 80537‎

When you arrive at the hotel, please check in at the CAEE registration area (outside the Regency Ballroom in the Fountains of Loveland Building, which is to the left of the main La Quinta hotel building. Go down the stairs past the restaurant to find registration). The registration area will be open to check in and ask questions from:

Friday, April 27         7:00am-9:00am at the hotel

 5:30-6:30pm at the Friday Evening Reception at Sylvan Dale Ranch.

Saturday, April 28     7:00am-5:30pm at the hotel 

(PLEASE NOTE: registration will be closed from 8:30-9:45am for the keynote speaker)

Sunday, April 29        8:00am-4:00pm at the hotel

INVITE YOUR COLLEAGUES/FRIENDS/PARTNERS TO THE SOCIAL EVENTS!

Please feel free to invite friends, colleagues and partners to the Friday and Saturday evening events, even if they are not attending the conference. The guest cost to attend is $10. Click here to find more information and registration links. We ask that you register in advance so we can have accurate numbers for planning purposes.  

SESSION PLANNING:

AV & Supply needs:

Please plan to bring your own laptop (if needed) for your session.  Rooms will be equipped with projectors; however, you are responsible to make sure that your laptop will work with the projector. Therefore, please bring any specific connectors you may need to connect your laptop to the projector, especially if you are a mac user. We will not have backup projectors available.  If you own a projector, you may want to also consider bringing it as a back up to ensure you have a projector that will work with your laptop.

In addition, screens, white boards and/or easels w/ flip chart paper and basic supplies (pens, markers, post it notes, rubber bands, scissors, masking tape, extension cord, name tags) will be provided in every room.

Please do not rely on internet access for your presentation. Please save all presentation materials to a flash drive or to your laptop to access.

Room Location:

You can find the location of your session in the conference booklet PDF. You can also access it online and a hard copy will be given to you when you check in to the conference.   However, please check the message board in the registration area when you arrive to check for any changes in session room locations. 

Session Timing:

  • Set up/Clean Up-Presenters will have 10 minutes before their session to set up and a few minutes after your session to clean up. Please clear the room promptly at that time so that the next presenter has time to prepare.  If you are conversing with attendees after your session, please consider taking the conversation into another area so the next presenter can set up.
  • Evaluations-Session evaluations will be provided in each room. These evaluations are important to CAEE and a valuable tool for presenters. We ask presenters to allot time during their session to distribute and collect session evaluation forms.  The evaluations have a few statements that ask for a rating of the session and two opened ended questions, which will probably take about 5 minutes or less to fill out.  

Outdoor space:

There is outdoor space around the conference buildings for presenters to use during their session, both grassy field areas and 2 nature trails. It is first come, first serve.  However, please be mindful that there are also streets and traffic in the area as well. For more information on using outdoors spaces, contact info@caee.org or see the CAEE registration area at the conference.

PLEASE NOTE:  If you will be outdoors for your session, plan on meeting your participants at your assigned room/location and then move outside.

Youth Attendance:  

We will have students from Escuela Tlatelolco presenting on Urban Environmental Education through an Indigenous Perspective at 10am on Sat. April 28 and attending the conference on Saturday.  We are excited about their participation and hope you will help in supporting them by attending their session if you are able to and welcome them in your sessions and at the conference in general.  These are our future environmental educators!

Share your knowledge, skills, tips, and techniques at TOTB 2012!

The Teaching OUTSIDE the Box conference offers a friendly and professional environment where peers share the latest and greatest in environmental education.  Contribute your expertise and help keep Teaching OUTSIDE the Box one of the most anticipated and respected professional development opportunities for environmental educators in Colorado and beyond!

Presenter Information

All presenter applicants will be notified of their presenter status in late January 2012 – if selected, you will be asked to email any presentation handouts to CAEE before April 1, 2012 to be posted on the CAEE website for conference participants to view to contribute to our ZERO WASTE Policy for the conference.

Important Presenter Information

  • All presenters MUST register separately for the conference in order to be able to present. A limited number of scholarships will be available.

  • Limited equipment will be provided by CAEE: Dry erase boards and/or flip charts, markers, screen or white walls (if your equipment needs exceed those provided, please plan accordingly and bring your own -please note we do not provide projectors).
