How to submit a resource for review

Self-review workshops will be conducted to help ensure complete and consistent submissions. These workshops are not mandatory, but submitters are encouraged to attend. There will be a discount on the fee for a review if the submitter attends a Self-Review Workshop.

What to Submit:

One of the steps in submitting your resource is completing a self review. The self-review must be submitted online through the Online EE Directory (Log In or Directions). You can download a paper version solely as a tool to help you work on reviews offline, however self-reviews must be submitted online.
Submissions must include the following:

  1. Cover page: pdf version    word version
  2. Program profile in CAEE online database/directory (Directions)
  3. Resource provided in written format (e.g., plan, outline, curriculum, lesson plan)
  4. Self-Review (Self-Review Example: pdf file or web file)
  5. Information to support claims made in Self-Review*
  6. Submission Fee

*Please include a list of all of the items (props, books, etc.) used in your program if you consider these items to be fundamental in meeting any of the review criteria.

Other Considerations:

  • if the resource(s) you are submitting are lengthy or elaborate consider flagging or marking specific items that are being used to support specific criteria and/or creating an outline or table of contents.
  • include support documents that are pertinent to your program (i.e. evaluation and feedback forms, journals, worksheets, etc.)
  • where applicable, K-12 resources should include correlation to Colorado Model Content Standards (See Guideline 6.7).

Incomplete submissions will not be accepted.

When to Submit:

Officially, there are two deadlines a year for submissions: May 1 and November 1. However, during the pilot of the resource review system, submissions will be accepted at any time.

How to Submit:

The program profile and self-review portions of the submission will only be accepted online. Other portions of the submission (cover page, resource, extra information) may be emailed or mailed to:

Submission fees can be paid by check (payable to CAEE) or credit card (please call 303-273-9527).

Note: Written paper copies are preferred, but electronic files up to ten pages will be accepted. Submitters must provide four paper copies if not submitting electronically. Paper copies will not be returned.

Fees are necessary to cover the cost of the administration of this program. Fees are charged according to submission category.

A requirement of submission is an organizational entry in the CAEE Online Database/Directory. This is free for organizational members, however there is an additional cost for non-members. Examples:
Submitting one lesson plan for review - Cost: $15
Submitting 50 activities as a collection - Cost: $65
      Later submissions of 5 more activities as part of the collection above -
      Additional Cost: $25 (5*$5 = $25)

 

After Submission

I've sent a complete submission to CAEE. Now what happens?
CAEE will send an email confirming that the resource and all of the pieces of the submission have been received. CAEE will then assign three peer reviewers to review your submission. When all three reviews are complete, a review coordinator (from CAEE) will consolidate the review results. If there are discrepancies in the review results, the review coordinator will examine the results and, if necessary, contact reviewers to determine consensus. The review coordinator will notify you, the submitter, of the final review results and provide feedback information. You will then decide whether those results are published through the CAEE website. If you choose to have the review results made public, a flag, indicating "Review Available" will appear next to the resource name in the EE Database/Directory. If you choose not to have results made public, a flag will not appear. This process will take approximately three months.


Reviews are deemed valid indefinitely. If significant changes occur to the resource, it is your responsibility to re-submit the resource for review. Each review will be dated, and consumers will judge for themselves the efficacy of the review according to date.
